What Copilot Cowork costs a school or trust

For a school or small trust licensing 30 staff - office and teaching-admin, IT and data, and the leadership team - Copilot Cowork comes to roughly £4,360 a month all in at business list pricing: about £145 per licensed person. One honest caveat before anything else: schools buy Microsoft licensing on education agreements, which price differently - treat these figures as an upper bound and check your actual agreement.

What the everyday tasks cost

  • Governor or trustee meeting pack - 800-2,000 credits - £6.32 to £15.80 per run

  • Policy document refresh - 400-1,200 credits - £3.16 to £9.48

  • Census or DfE return preparation summary - 300-700 credits - £2.37 to £5.53

  • Parent communications batch - 100-300 credits - £0.79 to £2.37

A business manager producing one governor pack and two policy refreshes a month spends £13 to £35 - against the evenings those documents usually absorb.

Where the usage actually goes

School administration is document-heavy in exactly Cowork's shape: governor packs assembled from finance sheets and departmental updates, policies refreshed against model versions, the endless cycle of returns. The office and SLT carry the usage; most teaching staff, licensed or not, will use it lightly.

Which makes licensing the decision that matters. This is public money, and £145 per person needs defending in a budget meeting - so the sensible shape is narrow: the business manager, the office, SLT, and data staff first. A whole-staff rollout is hard to justify until a term of narrow use has proved where the hours actually come back.

The boundary: your MIS holds the school's real data, and it sits outside Microsoft 365. Cowork works on the documents, spreadsheets and email around it - which is still where governor packs and policies are written, but pupil records themselves stay in the MIS. And safeguarding data deserves its own sentence: check your permissions before anything else, because Cowork surfaces what its user can already open.

Common questions

Do these prices apply to schools?

Not exactly - education licensing is priced on separate agreements, and Copilot terms for education differ. Use these business-list figures as an upper bound and price your own agreement before budgeting.

Should teachers be licensed?

Start with the office, SLT and data staff, where the document hours demonstrably are. Teaching staff can follow if a term's evidence supports it - public budgets deserve that discipline.

Does it work with our MIS?

No - pupil data in your MIS stays there. Cowork reaches Microsoft 365: documents, spreadsheets, email, Teams. Governor packs yes; pupil records no.

What about safeguarding data?

Cowork surfaces whatever its user can already open in your tenant. Audit permissions on sensitive areas before rollout - that's a pre-condition, not a nice-to-have.

BEFORE YOU COMMIT

That's the cost. The harder question is whether it's the answer.

A new tool sitting on top of an estate that nobody fully understands usually adds cost, not clarity. So before you commit the budget, it's worth asking a simpler question: is Cowork actually your constraint, or is it something underneath it? We help established UK businesses get a clear view of what they're running - and whether the next bit of spend earns its place.
