BUILT BY SEGMENTUM · COWORK COST GUIDE
What Copilot Cowork costs a healthcare practice
For the administrative side of a typical practice - 16 people across office, reception and practice management - Copilot Cowork comes to roughly £2,130 a month all in: about £133 per person. One line before anything: this page is about practice administration. Clinical records live in clinical systems, and that's where they stay.
What the everyday tasks cost
Practice performance report (appointments, complaints, feedback) - 400-1,200 credits - £3.16 to £9.48 per run
Policy or CQC evidence pack - 500-1,200 credits - £3.95 to £9.48
Rota and staffing summary - 300-700 credits - £2.37 to £5.53
Routine admin letters batch - 100-300 credits - £0.79 to £2.37
A practice manager producing the monthly performance report and one policy refresh spends £7 to £19 - against the evenings both usually take.

Your estimate
Uses Microsoft's default usage mix and list pricing ($0.01 per Copilot Credit, billed in US dollars), ex-VAT. Licences assume Microsoft 365 Business Standard plus a Copilot licence per person at list price. For the full step-by-step version, use the calculator on the home page. Where the usage actually goes
Practice administration runs on documents that are nobody's favourite job: the performance report assembled from appointment exports and feedback, the policy library kept inspection-ready, the rota summaries, the letters. That's the practice manager's and office's territory, and it's exactly where the usage concentrates - reception's day-to-day is light-tier and nearly free.
The clinical line is worth stating twice because it's the whole risk picture: patient records belong in your clinical system, which sits outside Microsoft 365, and this is one sector where that boundary is a feature. Cowork should be working on the practice's operational documents - not clinical correspondence, not anything containing patient-identifiable data unless your data protection officer has explicitly signed off the flow. Special category data has its own rules; take advice before AI touches any of it.
Licence narrowly: the practice manager, the office lead, whoever owns the policy library and reporting. Reception seats will struggle to justify themselves.
Common questions
Can it work with patient records?
Clinical records live in your clinical system, outside Microsoft 365 - and should stay there. Anything involving patient-identifiable data needs your DPO's explicit sign-off; health data carries special category rules.
What's it actually for in a practice?
The operational layer: performance reports, policy and CQC evidence packs, rotas, routine letters. The admin that eats the practice manager's evenings.
Is this compliant for a healthcare setting?
It works within your Microsoft 365 tenant under your existing permissions - the compliance question is what you point it at. Operational documents, yes; patient data, DPO first.
Who should be licensed in a practice?
The practice manager and the office staff who produce documents - usually a handful of seats, not everyone with a login. Start there and let a quarter's use argue for more.
BEFORE YOU COMMIT
That's the cost. The harder question is whether it's the answer.
A new tool sitting on top of an estate that nobody fully understands usually adds cost, not clarity. So before you commit the budget, it's worth asking a simpler question: is Cowork actually your constraint, or is it something underneath it? We help established UK businesses get a clear view of what they're running - and whether the next bit of spend earns its place.
